Property Manager / Property Executive

Overall in charge of the operation of the building/property.

Responsibilities and Job Scope

Overall in charge of the operation of the building/property.
Overall in charge of the planning, administration, implementation, monitoring, and control of the daily functions of the Property Management Office (PMO).
Maintain an updated register of all parcel owners and tenants, including a register of shared units at all times.
Liaise with authorities on all matters pertaining to the property and ensure compliance with the Strata Management Act 2013 (SMA 2013).
Ensure compliance with Standard Operating Procedures (SOPs) for emergencies, safety, security, facilities management, and other relevant processes.
Ensure adherence to the Deed of Mutual Covenants (DMC) and House Rules.
Ensure the property is efficiently managed and maintained.
Ensure all facilities are in sound and proper working condition.
Maintain and track all vendors/service providers and ensure they fulfill their service contracts.
Conduct regular meetings with all service providers to review performance and resolve issues.
Ensure healthy cash flows and funds to meet monthly commitments and budgets.
Oversee the overall procurement functions, including follow-ups with vendors and suppliers.
Review and approve claims and payments for service contractors and suppliers.
Liaise with the accounts department/HQ on property management and accounting services software.
Oversee the periodic billing of Service Charges and Sinking Funds to owners.
Work with the accounts department/HQ to monitor outstanding payments and aging reports.
Liaise with the bank on banking-related functions as required.
Ensure that payments received are deposited regularly into the designated accounts.
Oversee and approve notices and announcements to owners, including email blasts.
Verify and process monthly utility bills, including TNB and Syabas, and ensure proper apportionment charges.
Coordinate with the accounts department on monthly financial reports.
Oversee human resource matters to ensure smooth operations within the PMO.
Approve purchases and expenses for the Property Management Office (PMO).
Oversee front desk operations to address residents' inquiries and concerns effectively.
Ensure timely resolution of issues related to access cards.
Ensure housekeeping and security services are in place and up to standard.
Prepare and verify budgets, cash flow projections, and billing calculations for residences and other Service Charge/Sinking Fund (SC/SF) requirements.
Direct the charge man and technicians on their duties, including addressing complaints received from residents via emails or complaint forms.
Resolve problems faced by residents and provide practical solutions promptly.
Implement best practices to keep maintenance costs low and within budget.
Prepare and submit regular maintenance reports to the Man

Property Officer

Assist Admin Executive (AE)/Building Executive (BE) and PM/PE on the daily oce functions of the Property Management Oce (PMO).

Technician

Assist the PM/PE in the regular operations of the Building/Property.
